Export invoices and credit notes

Two invoices per shipment, always in step

Every shipment needs a customs invoice for the EEI you file in AES and a commercial invoice for your buyer and bank. Expodite keeps the two in step, records every difference, and locks the invoice once the EEI is filed.

  • Customs and commercial invoices from the same shipment data
  • Every difference between the two on record
  • Credit and debit notes after filing, never quiet edits

How it works

  1. Step 1

Post the invoice from the shipment

The commercial invoice comes from the same shipment data as the customs invoice. Nobody in finance creates invoices by hand.

  2. Step 2

    File, and the invoice locks

Correct the invoice until the EEI is filed. After that it is locked, so the invoice your buyer holds matches what you reported to US Customs.

  3. Step 3

Adjust with notes, then email the buyer

Claims and corrections go through credit or debit notes. Email the invoice to your buyer from Expodite and keep the exact copy sent.

Customs and commercial

Your two invoices cannot drift apart unnoticed

Any change to the commercial invoice is recorded with who made it and when. The figures customs cares about stay in line with the customs invoice. Differences like these lead to amended filings and late payments, so you see them early.

  • Key figures held in line with customs
  • Differences recorded, never wiped
  • Who changed what, and when
Credit and debit notes

Corrections after filing, done the right way

Quality claims, short shipments and rate corrections are handled with a credit or debit note against the filed invoice, each with a reason. A separate register shows what was credited, what was debited and the net effect.

  • A reason on every note
  • Each note as a PDF for your buyer
  • Cancelled notes stay on record
Export classification

Schedule B, ECCN and the destination control statement on every invoice

Each invoice line carries its Schedule B number and export classification, and the destination control statement prints where it is needed. If the invoice and the EEI disagree, Expodite warns you before you file.

  • Destination control statement where needed
  • Schedule B and ECCN kept per product
  • Mismatch warning before filing
One register

Every invoice from posted to paid

See where each invoice stands, with overdue money at the top. Samples and free-of-cost exports are marked as zero value, so nobody chases money that is not owed.

  • Stage shown on every invoice
  • Overdue money shown first
  • Cancelled invoices keep their number and reason

Questions

Why does Expodite keep two invoices for each shipment?

The customs invoice carries the values you report in the EEI. The commercial invoice goes to your buyer and their bank. Expodite keeps them in step and records every difference.

Can we change an invoice after the EEI is filed?

Once the EEI is filed, the invoice is locked. Later changes are made with credit or debit notes, each with a reason and a PDF.

What happens when we cancel an invoice?

It is never deleted. The number stays in the register, marked cancelled, with the reason you gave.

Can we email the invoice to our buyer?

Yes. Email the commercial invoice from Expodite. The exact copy sent is kept on record.

How are free samples handled?

Mark them as zero value. The customs value is still shown, but nobody is asked to chase payment.
